Custom SMTP to send automated emails from Staq

On this page

    If you’re using our Client PDF Report or Staq Billing features, you can now send automated emails from your own custom email address instead of using a wpstaq.com branded email address. This white-label feature allows you to maintain your brand identity when communicating with clients.

    Steps to Set Up Custom SMTP

    To configure custom SMTP for sending automated emails, follow these simple steps below.

    Log into the Staq Panel and navigate to Clients > Custom SMTP.

    Enter the following details:

    • Host
    • SSL/TLS authentication
    • Port Number
    • Username
    • Password
    • From Email Address
    • From Name

    After entering these details, ensure that your SPF record is updated to prevent emails from landing in your client’s spam folder.

    SPF Setup

    You can check your current SPF record by visiting a tool like MXToolbox.

    Please run a lookup of your domain. If an SPF record exists, it will look something like this:

    v=spf1 include:_spf.google.com ~all

    You’ll need to update it to include the Staq server mail-01.wpstaq.com. For example, the updated SPF record from above will now look like this:

    v=spf1 include:_spf.google.com include:mail-01.wpstaq.com ~all

    If no SPF record is found, it’s recommended to create one to improve email deliverability. You can find many guides online or use ChatGPT to assist in creating the record.

    Using ChatGPT to generate an updated SPF record

    If you’re unsure on how to update your SPF record, it’s recommended that you use an AI tool like ChatGPT. For example, you can see the command below on how it updated an existing SPF record:

    Google Workspace or Gmail Setup

    If you’re using Google Workspace or Gmail for SMTP, you’ll need to set up an App Password. To do this, follow the instructions in this guide on how to generate a Google App Password. Focus on the steps related to setting up an App Password only and not the rest.
